Records and Distribution Technician

Position Summary

The Records and Distribution Technician is responsible for the timely distribution and electronic capture of incoming and outgoing documents, as directed by workflow systems and internal processes. This position also has responsibility to follow security processes during printing and compilation of ASEBP cheque runs.

Your Key Responsibilities

Process all physical incoming mail

  • Receive, open and date stamp all incoming mail.
  • Complete workflow tasks including but not limited to leaves packages and benefit handbook requests.
  • Print and mail letters.
  • Accurately sort incoming mail, and capture as appropriate.
  • Receive stamps and prepare deposit for all incoming cheques and their corresponding amounts.

Process all outgoing mail

  • Prepare to mail out cheque runs, statements and attachments. Prepare cheques, statements and attachments for mailing, including running the reports, affixing any attachments, and obtaining required signatures.
  • Determine the most cost effective and efficient method available for sending out mail, or send as directed for courier requests based on business need.
  • Ensure all mailing equipment remains in good working order, identifying service and supply requirements.
  • Operate all mail room equipment proficiently.

Provide printing, production and output services

  • Run extended disability benefits (EDB) and accounts payable cheques as required.
  • Complete any large printing runs, electronic mailer requests, and other print jobs as requested.
  • Photocopy various materials for information packages as requested (e.g. HSA, sub-teacher, leaves books).
  • Collate and assemble packages for mail out.
  • Maintain printer and photocopier supplies at reasonable levels to prevent outages.
  • Complete any requested print, production, or electronic mailing jobs.
  • Capture copies of outing mailers as appropriate/
  • Send faxes as requested by members of the organization working remotely, including confirming receipt and capturing fax confirmations on the appropriate folders.

Capture documents and attach them to the appropriate folder, entering appropriate meta data

  • Upload electronic documents from various shared mailboxes with appropriate document codes as outlined on the corporate records management list.
  • Identify and use the appropriate technology for upload and meta data entry depending on volume, stated meta data and size.
  • Manage and capture attachments as separate documents as appropriate, as dictated by the corporate records management list.

Your Education and Experience

  • Completion of a two-year technical or community college certificate, preferably in Records and Information Management.
  • Minimum of two years of related experience.

A combination of education and experience may be considered.

Your Abilities

  • Effective interpersonal and communication skills.
  • Ability to work independently.
  • Strong attention to detail.
  • Working knowledge of paper and electronic image-based records management systems.
  • Familiarity with standards and legislation relevant to records management (including electronic transactions) and access to information and privacy.
  • Ability to use a variety of mail processing equipment.
  • Ability to effectively manage and prioritize work in an efficient manner.
  • Strong organizational and prioritization skills.
  • Working knowledge of imaging software.
  • Working knowledge of Electronic Document Management Systems
